Tier 2 — WhatsApp Business App (The Free Business Tool)
What It Is
WhatsApp Business App is a free version of WhatsApp built specifically for small businesses. It looks and feels like the regular app but adds tools to help you sell, organize, and communicate professionally.
What You Can Do
Create a Business Profile
Your profile shows customers you are serious. You can add:
-
Your business name and description
-
Your address and location on a map
-
Your business hours (when you are open or closed)
-
Your website link
-
Your email address
-
A catalog of your products or services
When customers find you on WhatsApp, they see a complete business identity. This builds trust immediately.
Set Up Basic Automation
The Business App can send messages automatically in three ways:
-
Greeting Message: Sends automatically when someone contacts you for the first time or after 14 days of silence. Example: “Hello! Welcome to [Your Business]. How can we help you today?”
-
Away Message: Sends automatically when you are closed or busy. Example: “Thanks for reaching out! We are currently away but will respond within 24 hours.”
-
Quick Replies: Save messages you send often and reuse them with short codes. Example: Type “/price” and it expands to your full pricing information.
Build a Product Catalog
You can add up to 500 products or services to your catalog. Each item shows:
-
Product name and description
-
Price
-
Product code or SKU
-
Link to your website or Payment page
-
Up to 10 photos per item
Customers browse your catalog inside WhatsApp. They do not need to leave the app to see what you sell. This reduces friction and increases sales.
Organize with Labels
Labels are like colored tags for your chats. You can create custom labels such as:
-
“New Customer”
-
“Pending Payment”
-
“Order Complete”
-
“VIP Client”
-
“Follow Up Later”
Apply labels to chats to keep track of where each customer stands. You can filter your chat list by label to find everyone who needs attention.
Use Broadcast Lists
Broadcast lists let you send one message to many people at once. However, there is a strict limit: 256 contacts per list. Also, only people who have saved your number in their phone will receive broadcast messages.
This works for small announcements but does not scale. If you have 1,000 customers, you need four separate lists. You cannot personalize messages easily. You cannot see detailed analytics.
Link Up to 5 Devices
You can use your Business App on your phone plus up to four additional devices (phones, tablets, or computers). This lets a small team share access without sharing one phone.
What You Cannot Do
-
Send messages to more than 256 people at once
-
Build complex chatbots that handle full conversations
-
See detailed reports on message performance
-
Connect to your online store or CRM system
-
Get the green verification badge
-
Handle very high message volumes without lag
Who Should Use the Business App
The Business App is perfect for:
-
Solopreneurs: One person running everything
-
Micro-businesses: Small shops, home-based businesses, freelancers
-
Service providers: Consultants, coaches, repair services, tutors
-
Low-volume sellers: Businesses handling a few dozen messages per day
-
Businesses starting out: Testing WhatsApp sales before investing in bigger tools
Regional Variations
WhatsApp rolls out features gradually across different countries. The Business App in some markets includes extras that other markets do not yet have.
Examples of regional variations:
-
QR code payments: In some countries, customers can scan a code in your catalog and pay directly through their local payment system. This makes checkout extremely fast.
-
Enhanced catalogs: Some regions allow more detailed product listings, variant options (like size or color), or direct “Add to Cart” buttons.
-
Larger broadcast limits: A few markets have tested expanded broadcast capabilities beyond 256 contacts.
These features appear first in countries with strong digital payment infrastructure and high WhatsApp business adoption. They then expand to other regions over time.
How to check your local features: Open your WhatsApp Business App. Go to Settings > Business Tools. Browse what options are available. Compare with WhatsApp’s official feature announcement page for your country.
