The Content Production Workflow

A sustainable content workflow includes these stages:

Maintain a running list of ideas. Review and prioritize monthly.

Creation Write the first draft without editing. Focus on completing the structure. Then revise for clarity, flow, and engagement. Add examples, stories, and visual elements. Edit for grammar and accuracy.
Optimization Before publishing, optimize for search engines:
  • Include target keywords in titles, headings, and early paragraphs
  • Write compelling meta descriptions
  • Use descriptive alt text for images
  • Ensure fast page loading
  • Add internal and external links
Publishing and Distribution Publish at consistent times. Immediately distribute through your chosen channels: email newsletters, social media, relevant communities, and partner networks.
 
Repurposing Extract maximum value from each piece of content:
  • Turn a blog post into a video script
  • Create social media graphics with key quotes
  • Record a podcast episode expanding on the topic
  • Design an infographic summarizing main points
  • Write a newsletter highlighting the key takeaway

The Content Calendar

A content calendar prevents last-minute scrambling and ensures strategic alignment. Plan content at least one month in advance, ideally one quarter.
Your calendar should include:

  • Topic and working title
  • Target audience segment
  • Distribution channels
  • Responsible team member
  • Status (idea, in progress, ready, published)
